Overview
This Privacy Policy explains what information we collect when you use our gym-management service, why we collect it, and how it is stored, shared and protected. We only collect what we need to run the service for you and your members, and we never sell your data.
Information we collect
Depending on how you use the service, we may collect:
- Account details for gym owners and staff (name, email, phone and login credentials).
- Gym and member records you add (member profiles, contact details, plans, attendance, biometric check-ins and trainer information).
- Payment and subscription records (amounts, dates, methods and status).
- Technical data such as device, browser and log information used to keep the service secure and reliable.
How we use it
We use your information to operate and improve the service, authenticate logins, manage memberships and payments, send transactional notifications, provide support, and keep the platform secure. We do not use your gym or member data for advertising.
Google Sheets & Google Drive access
Connecting your Google account for the Google Sheets sync feature is entirely optional. If you choose to connect it, the service creates a single spreadsheet in your own Google Drive and keeps it up to date with a read-only copy of your gym data (currently your Members, Payments and Trainers). This gives you an always-current backup and export of your data in a familiar format that you fully own and control.
When you connect, Google asks you to grant these permissions, and we use them only for the purposes described here:
- See, edit, create and delete only the specific Google Drive files you use with this app (the
drive.filescope) — we use this only to create and locate the one spreadsheet the app makes for you. We cannot see, open or access any other files or folders in your Google Drive. - See, edit, create and delete your Google Sheets spreadsheets (the
spreadsheetsscope) — used only to write your synced data into that one spreadsheet the app created. - See your primary Google Account email address — used only to show you which Google account is currently connected.
The sync is one-way: information flows from the app into the sheet only. The spreadsheet is a protected, read-only mirror that the app overwrites on each sync — we never read your gym data back from the sheet, and we do not read, scan or store any other content from your Google Drive. The Google account tokens needed to write to the sheet are encrypted at rest, and you can disconnect at any time from your settings — disconnecting stops all further syncing and you may then delete or keep the spreadsheet as you wish. You can also revoke access directly from your Google Account permissions.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Data sharing and storage
Your data is stored on secure hosting infrastructure and is shared only with the third-party processors needed to run the service — for example our hosting and database providers, payment processors, and email or messaging providers — and only to the extent required to deliver the service to you. We retain your data for as long as your account is active and as needed to comply with our legal obligations, and we delete or anonymise it when it is no longer required.
Your rights and contact
You can access, correct, export or delete your data, and you can withdraw integrations such as the Google Sheets connection at any time.
